Selby Jennings have partnered up with a leading Private Equity fund who are expanding to Munich, the Head of EMEA Sales is looking for a personal/executive assistant to support him in his day to day functions.
EA to the Head of EMEA Sales and Team Assistant to the EMEA Sales and Client Service teams:
- Efficient co-ordination of the Head of EMEA Sales, the EMEA Sales and Client Service team's diaries, including:
- arranging internal and external meetings;
- ensuring that diary clashes are proactively managed
- ensuring that meetings are still needed and of the right length.
- Arrangement of working lunches/dinners, including consideration of diary needs and when internal liaising with Front of House ("FoH")
- Attend internal EMEA Sales meetings, take minutes, including any action point, and document them in a timely manner
- Liaison with Fund Managers (including their EA's), Sales personnel, Client Service teams and other staff within the company
- Arrange domestic and international travel, accommodation and confirm itineraries (where applicable) including liaison with the firms travel management company. Proactively suggesting alternatives that reduce cost or improve efficiencies
- Coordinate correspondence associated with internal projects for participants within the teams
- Collate and submit expenses on Concur Solutions on behalf of the teams, on a timely basis and ensure all Finance team deadlines are met
- Assist with printing/binding of sales booklets & materials
- Work in a collaborative environment and act as back-up for other team members
- Assist other EA/PA's as needed, subject to capacity
- Coordinate with FoH with regard to internal meetings
- Assist FoH as needed, subject to capacity
- Assisting with ad-hoc duties as required.

- Good communicator and able to work well within a team
- Excellent people skills. Enthusiasm, energy and good humour essential plus ability to work well with diverse personalities
- Exceptional and diplomatic telephone manner
- Good keyboard skills with excellent knowledge of Windows software; Excel, Word, Outlook, PowerPoint and additionally knowledge of Salesforce and Concur
- Succinct and good written and spoken English
- A genuine interest or willingness to learn about basic economic, financial and investment
- 3 to 8 years experience
